Concept of information system is general. Information systems are the means by which people, organizations, utilizing the technologies can gather, store, use and process the information. To augment the personnel lives business firms, organizations and individual rely on the information systems. Modern corporations and Marketplace use the computerized information system to manage the human resources and financial accounts. Even information system is used on shops, educational institutes and banks. Our study focuses on the information system that is requirement of a business organization. Technology used for this system is MS Access database system. Information communication technology (ICT) enables the data transfer and processing as electronically for the purpose of the information system. ICT provides inter and intra-organizational information system. Organizations are in search of better ways to achieve the optimistic business performance and sustain the competitive advantages through the effective deployment of the business processes and resources. Organizations require the efficient planning and control system that can synchronize planning of all processes across the organization. Information system (IS) is the key to provide high quality products to customers and other services to customer within optimal time. In this regard ERP system is the best solution to all those organizations those are concerned with the customer dealing. Success of the ERP system lies in that how it is evaluated. This research accordingly attempts to propose a success model for ERP system of Pharmaceutical Company ABBOTTS Pharmaceutical Limited. In this study paper firm of ABBOTTS Pharmaceutical Limited is tested to develop a information system. The ABBOTTS Pharmaceutical Limited has very limited information system before this. The ABBOTTS Pharmaceutical Limited is world leading pharmaceutical manufacturing company. The ABBOTTS Pharmaceutical Limited due to its good quality production is sector’s fastest growing company. Mature SAP system is required for the successful implementation of the information system (ERP) at ABBOTTS Pharmaceutical Limited. It also required the training of the end users and support from the high level management. The researchers and SAP team have cooperation to implement the ERP system at ABBOTTS Pharmaceutical Limited. Respondents participating in this study are system end users and are highly educated and experienced.
The Conceptual Process Model
Various ERP applications have been conceived and implemented to meet the user requirement in different domains. A kind of this application is based on such technology is the ABBOTTS Pharmaceutical Limited Information System. This system has facilitated the company employees to share the information. The development of new strategy is to enable the access of employees easily.
The ABBOTTS Pharmaceutical Limited Information system provides the information to its users. Users can get the information about the raw material available, number of cement bags available, number of demanded bags and many more options for end users. The GUI is very friendly and user has no problem to use the system. As discussed earlier our system has human resource, financial, management, production and IT modules. The principal departments that would contribute to the development of the ABBOTTS Pharmaceutical Limited Information systems are summarized as
- Financial department
- Human Resource Department
- Production Department
- Management Department
This consortium provides standards and guidelines to be shared between the ABBOTTS Pharmaceutical Limited organizations.
The Use Case Diagram
An automated ABBOTTS Pharmaceutical Limited Information System designing is based on the UML language developed by the Grady Booch et al. (1999). The principal actors that interact with the system include Users, Main Server and the Manager.
The important use case that describe a set of sequences and actions relating actors to the system are
- Check User
- Process Request
- Perform Action
The check user is the action that permits the system to verify the user. It informed the Main server about the ongoing process by sending the username and password. Main server manages the information sent by the other departments of ABBOTTS Pharmaceutical Limited.
Class Diagram
The Class diagram designates the core components of the whole design in the UML. It represents the classes of the system and relationship between the classes. For the ABBOTTS Pharmaceutical Limited Information System we have founded the following classes.
- Employee Class
- User Class
- Person Class
- Account Class
- Address Class
- Category Class
- Quantity Class
- Item Class
- Cashier Class
- Manager Class
- QC ClasThese are the important classes of our ABBOTTS Pharmaceutical Limited Information System.
- Interaction Diagram
It models particular objects in a system. The sequence diagram or collaboration diagrams are equivalent. We have used the sequence diagram to model the flow control of the “process request” use case. Dynamic behavior of a use case scenario is visualized by the sequence diagram. The activity diagram is used to model its dynamic aspects. It shows the flow from activity to activity.
Database design
For the ABBOTTS Pharmaceutical Limited Information system a relational database is designed in MS Access. Before the designing of a database following rules must be followed for a good database.
- Business does not require the table. As in ABBOTTS Pharmaceutical Limited Information system it does not require to create a table for the domain.
- Identify the things and events that must be present in the ABBOTTS Pharmaceutical Limited database.
In ABBOTTS Pharmaceutical Limited product is a thing while storing is the event.
- Relationship between entities is very important principal of database designing. Look for one ton many relationships. In tables relationship is done by the foreign key. In ABBOTTS Pharmaceutical Limited Employees table has relationship with the department. One to many Relationships is found in this relation of tables.
- Check the attributes of the every entity and then designate the primary key. In ABBOTTS Pharmaceutical Limited database employee entity have primary key on the employee no. attribute. In Category entity for Category Id is the attribute where primary key is applied.
- Data Redundancy is very common rule in database designing. Same value must not be entered in the table. It can create problems during the normalization of the database. Therefore redundancy is key rule for the database working in ABBOTTS Pharmaceutical Limited Information system.
Query: It is used in our system to retrieve the data from one or more than one table of the database. Hence query is used to get the scalar value or multi values. When data is retrieved from two or more than two tables then joins (inner, outer) are used.
Field: In the data table definition the field is used as attributes and query makes this field to insert or retrieve the data. In ABBOTTS Pharmaceutical Limited Information System a data table contains many fields. Employee data table has the name, designation and date of joining fields.
Rows and columns are the objects of the data table.
Software and Hardware
In our study above principals are strictly followed. To design this database we have used the SQL Server 2008 and C# for the form designing. SQ Server has the facility to design a database in Access. We can use the Microsoft office which has MS Access to design a database. Because our system is very large, therefore we require a very strong tool on the front end to develop the ABBOTTS Pharmaceutical Limited ERP. To design this database a system with advance hardware is required. Hardware specification required to design and develop the database are given as.
- Intel(R)
- Pentium(R) 4 CPU 3.00 GHz
- 1 GB of RAM
Implementation Plan
Implementation plan is a full documentation that describes the approach used for the ABBOTTS Pharmaceutical Limited Information System. Hardware and Software for the ABBOTTS Pharmaceutical Limited Information system include the computers, servers, peripheral equipment, non-computer requirements as well as network and data communication requirements. This part of the implementation also includes the specific models, versions, configuration setting and also manufacturer support and licensing. Non-hardware components required for implementation are software, compilers, operating system and utilities.
In the ABBOTTS Pharmaceutical Limited Information system user’s training is the part of the Implementation plan of the system. A one month training program for these users was planned. During this period users were fully trained and database system was tested. If any problem has occurred then the troubleshooting practices were introduced.
Lucas (1981) defined implementation as the whole process of introducing a system into an organization, from conception of an idea, to analysis, design, installation and operation. Olson and Davis (1984) defined implementation as preparing an organization to receive an information system for its effective use. Other conceptions of implementation have included implementation as a process of influence (Gibson, 1975), implementation as an interaction between designer and user (Ginsburg and Ramsey,1975; Lucas,1981), implementation as problem solving (Mitroff, 1975), and implementation as accommodating to the environment (Bean , 1977). Sauer (1993) sees implementation in terms of reducing the uncertainty around the problematic relationships amongst the Information System, the project organization responsible for delivering the system, and the system’s supporters.
To implement the ABBOTTS Pharmaceutical Limited Information System sixthmonth period was promised. Regardless of the all resources it has taken time to get all done. If any change is expected then its reconciliation takes the time. Testing, training and the roll out takes the time. IT experts are responsible for the training, testing and roll out of the system.
Many challenges are faced by the software team developer and implementing team. These challenges are human created, technical issues and organizational. Choosing the right technology for implementation of the system is best practice. Technical issues can be the mismatching of the utilities required for the implementation of the newly developed system. It effects the implementation of the system. It takes more time to implement the system. Legal issues relating to the software implementation are the unlicencing of the product to be implemented. An IT expert who is leading the team can not make it possible before the product is licensed. An IT expert takes the consideration of legal requirements for that product’s implementation.
Conclusions
We have developed a new system for the ABBOTTS Pharmaceutical Limited for sharing the organizational information. ABBOTTS Pharmaceutical Limited Information system is developed as ERP system. This system is designed for the users to take advantage of this newly developed system rather than making delays in the response of the highly management in production as well as human resource and finance department for their queries. Issues arise during the implementation of the system and rationally are solved by the IT experts.
